This Privacy Policy explains how demelos LLC ("demelos", "we", "us") collects, uses, stores, and shares personal information through the Klees product (the "Service") at klees.app and its mobile applications.

1. Who we are

Klees is a time tracking and field-operations platform operated by demelos LLC, a Florida limited liability company with principal place of business at 1395 Brickell Ave, Suite 800, Miami, FL 33131. For privacy questions, contact [email protected].

2. Information we collect

Account data

Name, email, phone, role, employer or company, language preference, and password (hashed).

Crew and time data

Clock-in / clock-out timestamps, break and lunch periods, job and customer associations, daily logs, and crew membership.

Location data

Latitude / longitude at clock-in, clock-out, and during active shifts when Live Map is enabled. Location is collected at site-precision and stored encrypted at rest.

PinShot biometric data

When PinShot is enabled by your employer, a selfie image is captured at clock-in and a derived face-template (vector embedding) is stored. The selfie image is retained for 30 days and then deleted. The face-template is retained for the duration of your employment + 12 months. See section 5 for opt-out details.

Device data

Device type, operating system, app version, IP address, and crash logs.

3. How we use information

To provide and operate the Service
To authenticate users and prevent fraud (including buddy-punching)
To produce payroll-ready reports for your employer
To send service notifications
To improve product quality, with aggregated and de-identified analytics
To comply with legal obligations

4. Legal basis (GDPR-applicable users)

We process personal data based on the contract with your employer, legitimate interests (fraud prevention, security), legal obligations (payroll reporting), and your consent (PinShot biometric data, where required by jurisdiction).

5. PinShot biometric data — opt-out

PinShot is enabled by your employer at the company-account level. If your employer requires PinShot, alternatives include PIN-based clock-in subject to your employer's approval. To request deletion of your face-template, email [email protected]. Deletion is honored within 30 days subject to legal retention requirements.

Your employer or the company account you belong to
Service providers under written contract (cloud hosting, payment processing, payroll integrations such as QuickBooks)
Legal authorities when required by law
Successor entities in the event of a merger or acquisition

We do not sell personal data. We do not use personal data for cross-context behavioral advertising.

7. Data retention

Time-tracking records: 7 years (payroll record-keeping standard)
PinShot selfie image: 30 days
PinShot face-template: employment + 12 months
Location data: 24 months
Server logs: 90 days

8. Your rights

You may request access to, correction of, or deletion of your personal data by emailing [email protected]. California residents, Virginia residents, and EU/UK users have additional rights under their respective laws and can exercise them through the same channel.

9. Security

Data is encrypted in transit (TLS 1.3) and at rest (AES-256). Access to production systems is restricted, audit-logged, and gated behind SSO + MFA. PinShot face-templates are stored separately from authentication credentials.

10. Children

The Service is intended for adults employed in field-service operations. We do not knowingly collect data from anyone under 16.

11. International transfers

Data is hosted in the United States. Users outside the U.S. consent to transfer of data to the U.S. when using the Service.

12. Changes to this policy

We may update this Policy. Material changes will be announced via in-product notification at least 30 days before they take effect.
