Some of your people drive as part of the job — between sites, to the supply house, on delivery routes. Klees can turn their existing on-the-clock GPS trail into a mileage log, with no start/stop buttons and no separate mileage app.

Enabling it

Auto-mileage is per employee, not company-wide. In the admin, open People → (employee) → GPS and switch on mileage tracking. Only workers who actually drive should have it on — it keeps the mileage report clean and the reimbursement math honest.

How miles are counted

While an enabled worker is clocked in, Klees measures the distance actually traveled along their GPS trail — not straight-line point-to-point guesses. Walking a large site produces near-zero miles; a 2.3-mile drive between jobs produces 2.3 miles. Off the clock, nothing is recorded and nothing is counted.

There is nothing for the worker to do. No trip classification, no “was this business or personal?” — if they were on the clock and moving, it counts; if they weren’t, it doesn’t.

The mileage report

Miles roll up per employee per day in the Mileage report, alongside manually submitted mileage entries if you also use those. Export it with the rest of your payroll package and apply your reimbursement rate (the IRS standard rate or your own).

Manual mileage still works

Auto-tracking and manual entry coexist. A worker who used a personal vehicle for a one-off supply run can still submit a manual mileage entry with a note, and managers review those the same way they review expenses. Auto-miles are labeled as such so you always know which numbers came from GPS and which came from a person.
